This Privacy Policy explains how EduEire (operated by Easy AI Ltd, CRO 772816) collects, uses, and safeguards your information when you use our services. It also outlines your rights under the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018ombudsman.ie. We aim to use clear, plain language so you can understand our practices.

Who We Are
EduEire is the public brand of Easy AI Ltd, an Irish company. For the purposes of data protection law, Easy AI Ltd (trading as EduEire) is the “data controller” of your personal data, which means we determine how and why your personal information is processed. Easy AI Ltd is registered in Ireland (Company Number 772816). In this policy, references to “we”, “us”, or “our” mean Easy AI Ltd/EduEire.
Information We Collect
We collect personal information that you provide directly and data that is collected automatically as you use our platform. This includes:

Account Information: When you sign up, we collect information such as your name, email address, and a password. If you subscribe to a paid plan, our payment processor (via Wix) will collect billing details (e.g. credit card information and billing address) on our behalf. We do not store your full payment card details on our servers.

Profile and Usage Data: We may ask for your role or school (optional) to tailor the experience for educators. We also collect usage data, such as the features you use, the pages or lesson topics you request, and timestamps of activities. This helps us understand how the platform is used and improve our services.

Content You Provide: When using our AI lesson plan generator or other tools, you may input information or prompts (e.g. subject, topic, or specific requests for lesson content). The platform processes this input to generate outputs (lesson plans, etc.). We treat these inputs and outputs as your data. We do not use them for any purpose other than providing you the service and improving or debugging our tools (and we avoid using any personal data in this process whenever possible). We strongly advise you not to include sensitive personal data (e.g. student names or other identifiable information) in any prompts.

How We Use Your Information
We use personal data for the following purposes:

To Provide and Maintain the Service: We process your account data and content inputs to authenticate you and generate the AI-powered lesson plans or other outputs you request. This is the core function of EduEire, and it relies on your data to work.

Service Improvement and Development: We analyze usage patterns and feedback (in anonymized or aggregated form whenever possible) to improve our existing tools and develop new features. For example, understanding which subjects are most generated helps us refine our AI models and curriculum coverage.

Customer Support: Information you provide in support requests (emails to support@edueire.ie) is used to assist you and resolve issues. We may also use your email to send service-related notices (e.g. important updates, password resets, or changes to our terms or policies).

Subscriptions and Billing: If you are a subscriber, we use your information to manage your subscription, process payments, and notify you of billing status. This includes sending reminders for upcoming renewals or confirmation of cancellation, as applicable.

Compliance and Legal Obligations: We may process personal data as required to comply with laws and regulations, or to respond to lawful requests by authorities. For instance, keeping transaction records for tax/audit purposes is a legal obligation. We may also use data to enforce our Terms & Conditions, such as investigating possible misuse of the platform.

Communication (with Consent): With your permission, we may occasionally send newsletters or updates about new EduEire features, promotions, or educational content. This is entirely optional – if you choose not to receive these, it will not affect your core service. You can opt out of marketing emails at any time by using the unsubscribe link in such emails or contacting us.
We ensure that we have a valid legal basis for each use of your data. In most cases, the primary bases are “performance of a contract” (providing the service you signed up for) and “legitimate interests” (improving our service, preventing fraud, etc.), balanced with your rights. Where we rely on your consent (for example, for optional communications or certain cookie uses), you can withdraw that consent at any time.
Legal Bases for Processing (GDPR)
Under GDPR, we must inform you of the legal grounds we rely on for processing your personal data. These include:

Contractual Necessity: Much of our processing is to fulfill our contract with you – for example, when you create an account and use EduEire’s tools, we process your data to deliver the requested results. If you subscribe to a paid plan, processing your payment and maintaining your subscription also falls under contract necessity.

Legitimate Interests: We may process data for purposes that are in our legitimate interests as a business, provided these are not overridden by your rights. For instance, improving our platform’s functionality, preventing misuse (monitoring for spam or excessive requests), and sending service announcements are based on legitimate interests. We always consider your privacy and strive to minimize impacts (for example, using aggregated data wherever possible).

Legal Obligation: In some cases, we have a legal obligation to process data – such as retaining certain financial records for tax compliance, or providing information to authorities if legally required by a court order or regulation.

Consent: Where we ask for consent (e.g. for marketing emails or non-essential cookies), we rely on your consent as the basis. You have the right to decline or withdraw consent without detriment. For example, if you opt in to a 7-day free trial, we treat you as a member under this privacy policy, but any optional data uses (like marketing) would be only with consent.
If we ever need to process your personal data for a purpose that is incompatible with the original purpose we collected it for, we will notify you and, if required, seek your consent or provide the relevant legal basis.
How We Share Your Information
We do not sell or rent your personal information to third parties. However, we do share data in certain circumstances with trusted partners or service providers, as necessary to run EduEire. The main instances of sharing are:

Service Hosting and Platform: EduEire is hosted on Wix.com. When you use our website and app, your data is stored on Wix’s servers. Wix acts as a “data processor” on our behalf for hosting and database storagesupport.wix.com. They may technically process your data (e.g. storing it, serving our web pages to you), but only under our instructions and in compliance with GDPR. Wix has servers in the European Union and globally, with backups in multiple locationssupport.wix.com. Wix ensures that any transfers of personal data out of the EEA are done in compliance with data protection lawssupport.wix.com. (See “Data Transfers” below for more on international data movements.)

Payment Processing: Our subscription payments are handled via Wix’s integrated payment system (which may use third-party payment processors such as Stripe or PayPal, depending on your method). These payment providers will receive your payment details directly to process transactions. We only receive limited information in return (e.g. confirmation of payment, last four digits of your card, subscription status). All such third-party processors are PCI-DSS compliant and are independent controllers of your payment data, with their own privacy policies. We do not control how they handle your payment data, but they are contractually obligated to protect it and only use it for processing payments.

AI Service Provider (OpenAI): EduEire’s content generation (such as the lesson plan generator) is powered by OpenAI’s API. This means that when you input a prompt or request, the relevant text is sent securely to OpenAI’s servers, which then return the generated lesson plan or output. Important: OpenAI is a U.S.-based company, so this involves transferring your prompt (which may contain personal data if you include any) outside the European Economic Area. We have taken steps to ensure this transfer is lawful and protected. OpenAI has committed to GDPR compliance and relies on Standard Contractual Clauses (SCCs) approved by the European Commission for such data transfersactivemind.legal. Additionally, OpenAI does not use API data to train its models by default, and we have configured our usage to disable data logging/sharing for training purposes to the extent possible. We only send the minimum data needed (usually just the lesson topic or query text) and do not include unnecessary personal information in these API calls.

Email and Support Services: If we use an email service provider to send out newsletters or support emails (for example, a service like Gmail or an email marketing tool), your name and email address and the content of emails may be processed through those third-party systems. We will ensure any such providers are reputable and GDPR-compliant (e.g. by having EU data centers or SCCs in place if outside the EU).

Analytics (if used): We may use analytics services (such as Google Analytics or Wix’s built-in analytics) to collect anonymized statistics about user interactions (page views, device info, etc.). These services might set their own cookies. Any analytics usage will be detailed in our Cookie notice and configured to respect privacy (for example, using IP anonymization where applicable). You can opt out of analytics cookies via our cookie consent tools.

Legal or Safety Reasons: We may disclose personal information if required to do so by law or in response to valid requests by public authorities (e.g., a law enforcement request or court order). We may also share information if we believe in good faith that it is necessary to prevent or address fraud, security, or technical issues, or to protect the rights, property, and safety of our users, the public, or EduEire/Easy AI Ltd.

Business Transfers: If Easy AI Ltd (EduEire) is involved in a merger, acquisition, investment due diligence, or asset sale, your information may be transferred to the new owner or party as part of that transaction. If such a change happens, we will ensure the successor honors the commitments in this Privacy Policy or inform you and obtain any required consents.
In all cases where data is shared with service providers, we only share what is necessary for them to perform their services. They are not permitted to use your data for their own purposes. We have Data Processing Agreements in place where required, obligating these providers to protect your data and use it only in line with our instructions and applicable data protection laws.
Data Storage and International Transfers
Storage Location: We primarily store your data on secure servers provided by Wix. According to Wix, data for EU users is generally stored on servers located in Europe, with backups in other regions for redundancysupport.wix.com. This means your personal data is hosted within the EU in normal circumstances, which helps ensure compliance with European data protection standards.
International Transfers: Some of our service providers are located outside of Ireland or the European Union. Notably, as mentioned, OpenAI’s servers are in the United States. Whenever we transfer personal data out of the European Economic Area (EEA), we take legally required steps to ensure adequate protection:

Standard Contractual Clauses: For transfers to our U.S.-based partners (like OpenAI), we rely on the European Commission’s Standard Contractual Clauses (SCCs) as a legal mechanism to ensure your data receives a level of protection essentially equivalent to that in the EUactivemind.legal. These are standard legal contracts approved by the EU for such data exports.

Service Providers’ Commitments: Our providers (e.g. Wix, OpenAI) have publicly committed to GDPR compliance. Wix, for instance, states that any data transfers outside the EEA will comply with applicable regulationssupport.wix.com. OpenAI has also set up a subsidiary in the EU (OpenAI Ireland Ltd) for EEA customers, and data from EEA users may be handled under that entity, further aligning with EU requirementsactivemind.legal.

Encryption and Security: We use encryption for data in transit. When your data is transmitted to our services or through third-party APIs, it is protected by HTTPS/TLS encryption. This applies to your interactions with the website and to our communication with OpenAI’s API.

No Excessive Storage Abroad: We do not transfer or store your data in other countries without necessity. For example, our database backups via Wix might be stored in multiple regions, but always under strict security controls. We carefully select any processors that may handle data outside the EU and ensure they provide sufficient guarantees.

Data Security
We take security seriously and implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. These measures include:

Encryption: As noted, all communication between your browser and our platform is encrypted via HTTPS. We also ensure that sensitive data (like passwords) are stored securely (passwords are hashed and salted, meaning we cannot read them).

Access Controls: Personal data is accessible only to authorized personnel who need it to perform their duties (for example, support staff assisting you with an issue). Easy AI Ltd is a small team, and we ensure anyone handling user data is trained in confidentiality and data protection.

Wix Security: Our hosting provider Wix maintains robust security certifications and protocols (such as firewalls, DDoS protection, and regular security audits). We inherit those protections by using their platform.

OpenAI Data Handling: We minimize what information is sent to the AI API and have disabled data retention for training whenever possible, reducing exposure.

Monitoring and Testing: We monitor our systems for potential vulnerabilities and attacks. We also regularly update software and use best practices in coding to reduce security risks. In the event of any data breach that affects your personal data, we will notify you and regulators as required by GDPR, and take immediate steps to mitigate the impact.
No system can be 100% secure, but we strive to protect your data to the best of our ability. You also play a role: please keep your account credentials confidential and notify us immediately at support@edueire.ie if you suspect any unauthorized access to your account.
Data Retention
We will retain your personal information only for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

Account Data: If you have an EduEire account, we retain your account information while your account is active. If you choose to delete your account or if it has been inactive for an extended period, we may remove or anonymize the personal data associated with it. However, we might keep certain basic information (like your email or transaction history) for a period after deletion if needed for legitimate business interests (e.g. record of consent), to comply with legal obligations, or to resolve disputes. Typically, if an account is deleted or inactive, we aim to remove personal data within a few months, unless a longer retention is required (for example, financial records).

Subscription and Payment Records: We retain payment transaction records and invoices as long as required under Irish law (for tax and financial reporting). This can be up to 6-7 years. These records contain limited personal data (like your name, email, and transaction amounts/dates) and are securely stored.

AI Prompt Data: Text prompts and generated outputs may be stored in our system logs or databases. We do this to allow you to retrieve past outputs (if that feature is available) and to improve our algorithms. We will generally not keep raw prompt data longer than needed. If stored for improvements, we strive to anonymize it. OpenAI, our processor, currently retains API call data for a limited time (up to 30 days) for monitoring abuse and then deletes it, as per their policies.

Logs and Analytics: Web server logs (which may include IP addresses) are typically retained for a short period (a few weeks to a few months) for security auditing and then automatically deleted. Aggregated analytics data (which does not directly identify individuals) may be kept longer for historical analysis.

Communications: If you contact support, we may retain that correspondence for a period to track the resolution and improve our support processes. Generally, support emails are kept for up to 2 years, unless you request deletion earlier.

Backup Copies: Our system may maintain backup copies of data for disaster recovery. These backups are encrypted and kept for a limited time, after which they are overwritten. Even after you delete information from our live systems, it may remain in backups for a short period until those backups cycle out.
When we no longer have a legitimate need to retain your personal data, we will securely delete or anonymize it. If deletion is not possible (for example, because the data is stored in backups), we will securely store it and isolate it from further use until deletion is feasible.
Your Rights Under GDPR
As a user of EduEire in the EU, you have certain rights regarding your personal data. We are committed to upholding these rights. They include the right to:

For instance, if you withdraw consent from marketing emails, we will remove you from our mailing list. You may also delete your account at any time, and we will erase personal data associated with it (except for data we are required or permitted to retain by law, as noted in our retention section).

For example, if you contest the accuracy of your data, you can request we restrict use of that data until we verify accuracy. We can store it but not use it in the meantime.

For instance, if you want to obtain a copy of your lesson plans or account details to reuse elsewhere, we will provide it in a structured format (like CSV or JSON). This applies to data you provided to us and that we process by automated means on the basis of contract or consent.

Object to Processing: You have the right to object to certain processing activities. If we are processing your data based on legitimate interests, you can object if you feel it impacts your rights. If you object, we will consider whether our legitimate grounds override your rights. You can always object to direct marketing – if you say no to marketing communications, we will honor that immediately.

Automated Decision-Making: EduEire does not make any legally significant decisions about you solely by automated means. The AI outputs are automated, but they are content you requested, not decisions about your personal status. However, if in future we were to use automated means to evaluate or profile users (which we do not currently), you would have rights related to not being subject to a decision with legal or similarly significant effects without human involvement.

Withdraw Consent: If we rely on your consent for any processing, you have the right to withdraw that consent at any time. For example, you can unsubscribe from marketing emails or disable non-essential cookies through our cookie settings.
To exercise any of these rights, you can contact us at info@edueire.ie. We may need to verify your identity to process your request (to ensure we don’t disclose data to the wrong person). We will respond to your requests as soon as possible, and in any case within one month as required by GDPR (this can be extended by two further months for complex requests, but we will inform you if that extension is needed). There is generally no fee for exercising your rights, though excessive or unfounded requests may incur a reasonable fee as permitted by law.
You also have the right to lodge a complaint with the Irish Data Protection Commission if you believe we have not handled your personal data properly or lawfullyombudsman.ie. We kindly ask that you contact us first so we can try to address your concerns. Children’s Privacy
EduEire is primarily aimed at adult professional users (teachers and educators). Our platform and services are not intended for use by children or students under the age of 16. In Ireland, the digital age of consent (the minimum age at which a child can legally provide personal data consent for online services) is 16 yearswilliamfry.com. We do not knowingly collect personal information from anyone under 16 years old without verifiable parental consent.
If you are under 16, please do not register an account or provide any personal data on EduEire. If we learn that we have unintentionally collected personal data from a child under 16, we will take steps to delete that information promptly. Teachers using EduEire should avoid inputting any personal data about students or minors into the platform. Any lesson content generated should be generic and not include identifiable student information, to protect children’s privacy.
Parents or guardians who believe that we might have any information from or about a child under 16 may contact us at info@edueire.ie, and we will promptly investigate and address the issue.
Changes to This Privacy Policy
We may update or modify this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or for other operational reasons. When we make changes, we will update the “Last Updated” date at the top of the policy. If the changes are significant, we will provide a more prominent notice – for example, by emailing our users or by placing a notice on our website.
